Overview:
We are seeking an experienced Office Manager to join our team. The ideal candidate will be responsible for overseeing the daily operations of our office, ensuring efficiency, and supporting various administrative functions.
Duties:
- Manage office operations and procedures to ensure organizational effectiveness
- Coordinate and oversee administrative support for all departments
- Maintain office services by organizing office operations and procedures
- Setting and managing schedules and calendars of CEO and admin department and prioritize tasks effectively
- Answering phones calls and taking messages
- Managing scheduling and appointments
- Arranging meetings and other events
- Managing mail/fax communications daily
- Retrieve and respond daily to company email accounts.
- Managing traditional paper and/or electronic filing systems Understanding and experience with cloud based data storage
- Order necessary office supplies
- Payroll and Benefits administration including payroll processing, new employee onboarding, support annual renewal of employee health insurance, managing employee leave accruals
- Accounting support – timely printing and mailing of AP checks, deposit checks to various banks, enter royalties into QuickBooks for AP processing, credit card reconciliation support
- Customer service aspects relating to royalty holders (gathering information for changes, updating addresses, etc)
- Scanning and organization of inspection and operational documents.
- Transcription and completion of daily operational reports.
- Assist in event planning and coordination
Qualifications:
- Proven experience in an administrative or office management role
- Demonstrate a can-do, positive attitude, and be willing to assist in all aspects of company business
- Ability to prioritize responsibilities and meet deadlines
- Proficient in communication with excellent phone etiquette
- Strong organizational skills with the ability to multitask and prioritize work effectively
- Familiarity with QuickBooks or similar accounting software is preferred.
- Experience and strong capabilities with Microsoft Outlook, Word, Excel, Adobe pdf editors, preferred familiarity with Google Mail apps.
- Ability to manage calendars, schedules, and appointments efficiently
- Strong administrative skills with attention to detail
- Willingness to ask for help when needed
- Clean DMV record (local bank, post office, etc)
- Bilingual in Spanish preferred
