SUMMARY
Stock and Leader has an immediate opening for an experienced Legal Administrative/Executive Assistant. This position will support the School Department. Candidates should have 3-5 years of administrative experience, a positive attitude and a solid work ethic. Candidates with prior law firm experience a must. The candidate must be detail oriented, extremely organized, able to work in a fast-paced environment, able to follow directions, and meet deadlines. The candidate must be able to demonstrate exceptional organizational skills, work both independently and as part of a group. The candidate must have excellent computer skills, proficient in Outlook, Word, Excel & PowerPoint, and type a minimum of 65 wpm with high accuracy. PRIMARY DUTIES & RESPONSIBILITIES
- Provide support to School Department attorneys.
- Edit Requests for Proposals.
- Create and design comprehensive, detail oriented, compelling PowerPoint presentations that effectively communicate complex information for practice group workshops.
- Prepare exhibits for court hearings, trials and depositions, ensuring accuracy and compliance with legal requirements.
- Assist attorneys with time billing entries according to client billing guidelines, ensuring accuracy and compliance.
- Process attorney expense reports for reimbursement.
- Compose letters, memos, and various other documents.
- Prepare documents for delivery to court with appropriate formatting, copies, and court fees.
- Sort and date incoming mail, identifying time-sensitive documents and notifying attorneys. Ensure that outgoing mail is timely prepared, and, if necessary, route mail to specific delivery service and follows up on timely delivery.
- Utilizes and is proficient in computer software including Microsoft Office Suite and firm time management software.
- Operates standard office equipment, including personal computer, printers, copiers, typewriter, facsimile, telephone, and dictation equipment.
- Establishes and maintains duplicate calendar and deadline reminder systems (“ticklers”) to comply with law practice liability requirements. If applicable, has thorough knowledge of all court deadlines and creates reminders when required, e.g., deadlines stemming from court trial and discovery scheduling orders.
- Timely opens, closes and maintains all case and general files according to written procedure.
- Timely maintains filing and chronological records.
- Receives clients and visitors. Schedules and prepares conference room. Prepares refreshments. Maintains good public relations with clients.
- Assists in preparing application for additional Court or State Bar membership or Admission.
- Assists attorneys in registering for required mandatory Continuing Legal Education.
- Maintains current and accurate contact list in attorneys’ Outlook and other formats as designated by supervising attorney, including all relevant persons affiliated with client file.
Minimum Qualifications
- 3-5 years of administrative assistant/secretarial experience.
- Working knowledge of legal office practices and procedures.
- Ability to manage and maintain confidential information.
- Proficient in Microsoft Suite applications.
- Able to work independently and take direction well.
- Ability to multi-task, make decisions and deliver results under deadlines.
- Experience with NetDocs and Centerbase a plus.
- Must pass a background check.
