Integrative Rheumatology is an independent specialty practice in Charlotte, NC that combines state of the art traditional rheumatologic care with personalized patient education and complementary healing therapies to promote total body wellness.
POSITION SUMMARY
The Practice Manager will serve to oversee all operational and clinical activities of Integrative Rheumatology. This manager will report directly to the CEO and COO to execute the vision of Integrative Rheumatology as laid out by the owner. They will work with departmental team leads and staff to ensure that all clinical and non-clinical tasks are executed and maintained in accordance with all federal, state, and local compliance standards. They will provide regular updates on activities and recommendations for the office operations and seek executive approval for any major decisions that are required. The Practice Manager will commit to staying up-to-date on policy and compliance changes relevant to our practice and is responsible for ensuring that standards of care are met and/or exceeded in all areas. They will use financial and clinical reports to establish an operational budget and aid in formulating strategy for growth. The manager will perform regular audits of clinical and non-clinical operations and update policies and procedures as needed. The manager will also conduct regular reviews of staff performance, roles, and responsibilities and suggest adjustments as needed to ensure optimal performance and efficacy. The Practice Manager should exemplify the goals, commitment, and priorities of the leadership. They should always exhibit values of integrity, compassion, and commitment.
- Ensure that our practice complies with HIPAA, OSHA, OIG, MIPS, HR, FDA, ADA, and CMS standards.
- Ensure excellence and updates of office procedures, policies, task delegation, and implementation.
- Maintain familiarity with all medical office position responsibilities and ensure adequate daily staffing, advising on staff growth as needed.
- Prepare updates, trainings, and periodic reviews for providers and staff members to ensure optimal performance and growth. Provide healthy feedback.
- Encourage and motivate staff while protecting a culture of community and teamwork.
- Interact with patients and visitors in a positive, welcoming, compassionate manner, addressing major concerns as needed.
- Oversee patient collections, deposits, and reports.
- Oversee office budgets and finances, billing, and collection procedures.
- Manage office inventory.
- Maintain office calendar and staffing schedules/time tracking.
- Facilitate expansion of available services in collaboration with CEO/COO.
- Maintain positive relationships with other referring offices, vendors, and organizations while identifying patient recruitment opportunities
- Oversee facility upkeep, cleaning, and maintenance as needed.
QUALIFICATIONS, EXPERIENCE, REQUIREMENTS
- Solution-oriented approach to problems
- Excellent organizational and time-management skills
- Ability to multi-task and perform well in stressful situations
- Knowledge of medical issues and terminology
- At least five (5) years experience in medical office required
- Proven work experience as a medical office manager
- Knowledge of accounting, HR, administrative processes, and compliance standards common to medical offices.
- BS degree in Healthcare Administration, Business or relevant field preferred
- Efficiently uses Microsoft Office programs, such as Word, Excel, and PowerPoint. Type minimum of 60 WPM.
- Epic EMR experience preferred.
Job Type: Full-time
Pay: $60,000.00 - $75,000.00 per year
