This is a Full-Time (37.5 hours), Non-Exempt Position
Under the supervision of Children’s Home Society of California’s (CHS) Program Program Manager, the Program Specialist will:
· Work directly with the public through inbound and outgoing calls
· Deliver exceptional customer service to families, child care providers, and the general public
· Listen to understand all questions and issues, while offering helpful and meaningful solutions
· Conduct outreach to potential clients and prescreen families via telephonic communication to determine need and eligibility for enrollment
· Request eligibility and need documentation from families
· Provide technical assistance and resources to families and child care providers via telephonic and email communication
· Assist with telephonic and email communication on behalf of the Intake Department
· Update and maintain the Eligibility List by tracking enrollment status
· Write and maintain accurate, complete, and up-to-date case notes in electronic databases
· Organize and prioritize multiple tasks and responsibilities to meet individual and team deadlines
· Work cooperatively and cohesively with colleagues, including participation in weekly/monthly staff meetings and/or trainings
· Provide support as needed to other departments and colleagues to maintain program compliance
· Manage large volume of documentation in a high-quality manner and within record protection, retention, and destruction guidelines
· Provide general office support to the Intake Department with data entry, printing, copying, filing, word processing, sending facsimile, and large mailings as needed
· Adhere to all agency policies and procedures, as well as applicable contractual and governmental regulations
· Perform other duties and responsibilities as assigned
QUALIFICATIONS:
· High School Diploma or Equivalent
· Minimum five (5) years customer service experience with communication via telephone as a primary responsibility
· Excellent communication skills (written, verbal, and listening)
· Ability to prepare and present effective written work, provide strong attention to detail, and produce error-free work
· Proficiency in using the computer while actively listening and responding to callers
· Ability to complete data entry duties with a high-level of accuracy
· Proactive self-motivator with a professional, positive, and flexible attitude
· Excellent organization skills and the ability to manage multiple projects and meet deadlines
· Ability to work both autonomously and collaboratively in a fast-paced environment with a strong work ethic
· Ability to work independently and must be accessible by telephone and email while teleworking
· Demonstrated ability to exercise sound judgment
· Commitment to CHS’s core mission and values, and an ability to model those values in relationships with colleagues and partners
· Excellent ability to communicate effectively, respectfully, and transparently with all levels of staff
· Bilingual skills in Spanish or Vietnamese preferred
· Knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)
· Automobile, valid driver’s license, good driving record, and automobile insurance. This requirement may be waived for some positions if another form of reliable transportation is available
· Ability to travel via air and surface transportation, including travel between multiple offices
SALARY SCALE:
Entry level pay for this position is $24.00 per hour; the full pay scale is $24.00 to $28.08. Advancement on pay scale is based on qualifications, such as experience and education, and eventual job performance. Excellent benefits are provided including 100% employer paid medical, dental, and vision premium coverage for eligible employees and their eligible dependents and 10% pension plan contribution for eligible employees.
