Tillinghast & Associates works predominantly with high income and/or high net worth clients on their holistic financial planning needs, including wealth management, insurance, retirement, and estate planning. Peter Tillinghast has been in practice for 27 years and collectively Tillinghast & Associates shares over 50 years of industry experience.

Essential Functions
The Operations Associate will partner with appropriate team members to guide new and existing clients through an efficient planning experience. The position requires a high level of administrative/service focus. We are looking for a candidate with exceptional customer service, communication and organizational skills.
Additionally, this role helps with the business operations to enhance productivity and profitability. The Operations Associate anticipates the needs of the office, plans for its development with the employing representatives, recommends necessary changes and takes independent action in his/her areas of authority.
We place a high value on continuing education and professional development and desire each team member have familiarity with the planning process. As such, associates are encouraged to obtain various insurance & investment licenses and professional designations related to their roles.
Position Responsibilities
Specific responsibilities include but will not be limited to:
· Oversee operational procedures for all aspects of a financial representative’s business including coordinating communication and workflow between team members
· Managing all inbound telephone communications and personal email inbox
· First client communications
o Answer basic client questions
o Delegate call to appropriate team member
o Gather client information on behalf of advisors
· Coordinate and prepare for weekly team meetings
· Document, handle and delegate case notes and tasks following client meetings
o Requesting and organizing information from clients/prospects to prepare for thorough initial, follow-up and review meetings
o Coordinating follow-up activities amongst team members for prompt action and communication
· Initiating and managing client scheduling and general calendar coordination
· Logistical coordination for travel, study groups, presentations, and other non-client engagements
· Creating and maintaining systems for timely communications amongst clients and team members and monitoring follow-up for tasks through completion
· Managing client database and contact records
· Staying informed on and furthering adoption of technologies to enhance practice and workflow operations
· Implementing/executing client relationship enhancement strategies, e.g. birthday cards, gifts, client events
· Maintaining compliance standards & utmost respect for client confidentiality
· Sustaining a positive, enthusiastic and professional office atmosphere at all times for clients, guests, and team members
· Preparation prior to client/prospective client meetings
o Review file contents and case notes
o Gather documents per need, file organization
o Print and review all necessary paperwork and agendas
o Complete filling requests & case notes
QUALIFICATIONS
· Financial Services industry experience preferred
· Customer service experience, to include excellent oral and written communication skills
· Demonstrated organizational and time management skills, ability to navigate multiple tasks and set priorities to meet deadlines
· Strong attention to detail, with the ability to maintain a high degree of accuracy
· High degree of initiative and the ability to work autonomously
· Ability to be flexible and open-minded in a fast-paced environment
· High Technical skills and Team orientation
COMPENSATION AND BENEFITS
Range $50-70k. Compensation for this position will be determined based on relevant work experience and licensing & credentialing. Full time team members are eligible for a robust benefits suite.
HOURS AND LOCATION
Hours of operation for associates are 8:00 pm – 5:00 pm Monday through Thursday and 8:00 am – 4:30 pm Friday. Our office is located at 111 S Calvert St, Ste 2500; Baltimore, MD 21202. The parking garage is immediately below the office building.
