Title: Commercial Loan Servicing Assistant
Classification: Full Time/Non-Exempt/Staff Member

Reports To: Loan Servicing Manager
PRIMARY PURPOSE
As a Commercial Loan Servicing Assistant, you provide administrative, organizational, and communication support to the Loan Servicing department. This role involves collecting and managing data entry for all collected and managed loan covenants, financial documents, and post-closing conditions across the loan portfolio. It also involves handling critical information related to loans provided to Clearinghouse CDFI. You will use the nCino platform to track and organize borrower information, ensuring accuracy and confidentiality while maintaining consistent communication with all necessary parties.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provide high-level administrative support to the Loan Servicing department, including organizing meetings, managing calendars, and coordinating communication with internal and external stakeholders.
- Timely Collect loan covenants, financial documents, post-closing conditions from borrowers, and expiring property and liability insurance for portfolios in a timely manner.
- Enter and update all collected data utilizing the nCino platform for efficient tracking and organization.
- Review borrower-uploaded information and assign it to internal staff for review and approval, ensuring accuracy and completeness.
- Review the insurance certificates for accuracy and ensure that the certificate meets CCDFI requirements.
- Maintain any changes to the certificates received, and update the NLS system with that information. Independently organize and manage the collection of financial and other borrower information with confidentiality, ensuring compliance with data protection regulations.
- Maintain exceptional customer service standards while handling sensitive borrower information and inquiries.
- Coordinate with loan officers, borrowers, team members, and other stakeholders to clarify information and resolve discrepancies.
- Routinely run reports in nCino to track portfolio performance and assist with ADHOC reporting requests from management and staff.
- Track and request updated proof of insurance from borrowers or their insurance agents when current policies expire, ensuring compliance with loan agreements and risk management protocols.

KNOWLEDGE, SKILLS & ABILITIES:
- Excellent customer service skills, both written and verbal, in a professional manner required.
- Strong organizational and time management skills with the ability to efficiently manage multiple tasks and priorities.
- Support all administrative needs or loan servicing roles within the financial services industry preferred.
- Familiarity with loan documentation, financial statements, and post-closing processes.
- Ability to analyze loan information and identify discrepancies or issues.
- Ability to work independently and collaboratively with minimal supervision.
- Ability to quickly learn and adapt to new systems and processes in a fast-paced environment.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- A high level of attention to detail and commitment to maintaining data accuracy and confidentiality is essential.
EDUCATION AND/OR EXPERIENCE:
- A high school diploma or equivalent, as well as an associate or bachelor’s degree in finance, business, or a related field, is preferred.
- 1-2 years of customer service experience, administrative experience, and data entry experience required.
- Previous experience in data entry, preferably with a lending institution or commercial banking environment, is often preferred. Familiarity with commercial loan terminology and processes is a plus.
Certifications, Licenses, Registrations: Previous Salesforce/ nCino training preferred.
Job Type: Full-time
Pay: $22.50 - $28.00 per hour
