POSITION TITLE: Executive Assistant to the Pastors
BASIC FUNCTION: Provides professional, administrative, and technical assistance to the Pastoral Team and Church Office.
SPECIFIC RESPONSIBILITIES:
- Prepare and process executive and confidential correspondence for Pastoral Team and Church Staff.
- Serve as point of contact and provide administrative and technical assistance to various committees and councils as directed by Pastoral Team.
- Maintain the appointments calendar for the pastors.
- Gather, compile, and finalize information and reports for the District and the Global Methodist Church Conference.
- Duties as assigned, supporting the Presiding Elder of the North Florida District.
- Help maintain and update information on the website and social media.
- Design and schedule Digital Sign graphics.
- Arrange for Communion servers monthly and for special services.
- Prepare bulletins for all special worship services, i.e. Funeral Services, Christmas Eve, Ash Wednesday, Maundy Thursday, etc.
- Serve as Church Membership Secretary by maintaining church membership records, adding new member information, sending transfer requests to other churches, and preparing baptism certificates as needed.
- Assist pastors with filing, maintenance of records, history and archival data, reports, and related document management.
- Attend the Worship Planning Meetings, Staff Meetings and other meetings directed; record minutes and publish to appropriate staff/volunteers.
- Run background checks on all volunteers as needed and properly store files.
- Certified Notary Public (fees paid by KMC)
- Provide backup support for the Office Ministry Assistants in order to provide breaks and lunch for the receptionist.
- Maintain adequate supply of Communion elements in Sacristy worship services and Unit A for staff devotion.
- Maintain water and snack supply in the Sacristy for the pastors, choir and worship teams.
- Manage KMC’s social media and photos.
- Other duties as assigned by the Pastoral Team.
WORKING RELATIONSHIPS:All staff members, church congregation, and the general public. Work is directed by the Pastoral Team.
DESIRED KNOWLEDGE, SKILLS, ABILITIES, AND QUALIFICATIONS:
- Minimum education level High School Graduate or equivalent.
- Strong communication skills, written and oral.
- Warm, inviting, hospitable, welcoming spirit.
- Must be an individual of high moral character and will be held to the same standards of conduct and performance that all staff members are expected.
- Attention to detail, consistency with data entry.
- Notary Public. (KMC will pay for licensing as a Notary)
- Computer aptitude and skills to be effective and efficient in using Church Community Builder (CCB), Outlook, Word, Publisher, and Excel. Design skills in Canva are a bonus.
