Job Description—HOA Manager Trainee
We are looking for a candidate that can go through our 6 month training program to learn how to manage homeowner associations and condominiums. Ideally, this position would then be promoted to a full manager with a portfolio of associations. No direct experience in HOA management is necessary but the ideal candidate should have strong administrative and communication skills as well as the ability to work with a wide variety of personalities tactfully.
Basic Function
· Responsible for assisting HOA Manager with client tasks.
· Responsible for administrative work related to HOA management.
Relationships
· Reports to assigned HOA Manager.
· Maintains relationships with existing clients.
· Maintains relationships with peers and all other departments within the company.
· Maintains relationships with suppliers, vendors, and others serving the Company or the property.
Activities

· Maintaining member and client records.
- Maintain contact information and notes for members accounts.
- Maintain paper and electronic filing systems for client records.
- Set up new folders annually.
- Scanning and integrity of client documents.
- Updating records and welcome packages for new members.
· Member communications.
- Create email blast communications to members on direction from Manager.
- Create letters and other communications on direction from Manager.
- Answer and return phone calls.
· Invoice processing.
- Track community invoices monthly.
- Monitor utility trends.
- Send billing statements.
- Research payment issues.
· Property Inspections
- Violation inspections
· Vendor Coordination
- Coordinate projects
- Inspect work
- Create requests for proposals
- Create and monitor work orders
