The Clinical Intake Coordinator is responsible for welcoming new clients, scheduling and coordinating diagnostic evaluation appointments, and maintaining accurate recordkeeping in the organization.
Essential Functions
Intake and Recordkeeping
- Receive, respond and follow up on prospective client inquiries for diagnostic evaluations via phone and email.
- Schedule initial appointments with clients across both Pathways and Behavioral Framework.
- Track clients and ensure successful transition across departments as they flow through the pipeline between the diagnostic and ABA specialties.
- Submit, Track and Score Questionnaires Related to Clinical Intake Paperwork.
- Manage Excel Spreadsheets tracking intakes and daily management of the waitlist.
- Coordinate the appointment schedule with Clinical Management.
- Provide reminders to ensure new clients attend their appointment.
- Receive, process, track and file new client intakes and assessment documents.
- Educate parents on legal documents and manage signed documents.
- Manage medical files on past and current clients.
- Audit checklist and conduct monthly audits of binders, medical files, and online systems for completeness and accuracy.
- Maintain relationships with clients and keep updated on the status of intake and authorization process.
- Attend training to enhance skills related to the role including, but not limited to, HIPPA, Clinical Education, Medical Translation (Spanish).
Knowledge, Skills, Experience
- Attention to Detail is critical for this role.
- High-Paced Environment – There is very little downtime.
- Comfortable interacting with the autistic population.
- Maintain confidentiality; adhere to all HIPAA guidelines/regulations.
- Excellent customer service skills.
- Knowledge of the behavioral health industry and terms.
- Experience in managing recordkeeping and tracking systems.
- Experience with patient care coordination.
- Experience working with insurance companies.
- Knowledge of regulations related to Medicaid and commercial insurance.
- Knowledge of industry regulations.
- Excellent organizational skills.
- Proficiency in Microsoft Office Suite.
- Minimum Bachelors Degree required.
- Bilingual English/Spanish required.
Work Environment, Physical Conditions
- Ability to work in a fast-paced environment.
- Ability to work 40 hours per week.
- Ability to work cooperatively with others.
- Must comply with practice policies and procedures.
- Requires daily in-office work. It does not meet the requirements of regular telecommuting.
- Physical activities include sitting for long periods of time, walking, bending, kneeling.
- Must be able to reach, pull, and push.
- Requires manual dexterity, auditory and visual skills.
