The business manager regularly reports the accurate financial state of the company to the dealer and general manager, including cost and income analyses against forecasts.
Core responsibilities:
- Prepare the monthly financial statement in the time and manner specified.
- Manage rebates, warranty claims, and co-op advertising and keep current.
- Assist with monthly and annual forecasts and the comparison to actual amounts to help ensure the accuracy of the numbers by the date due.
- Audit the GL accounts and schedules for irregularities.
- Comply with local, state, and federal government to ensure proper and timely income, payroll, franchise, and all other tax obligations. (weekly, monthly, quarterly, and annually)
- Coordinate 401k and insurance payments with the management company and keep current.
- Manage the hiring process for the dealership. Collaborate with the individual managers to utilize KPA and coordinate with the management company to ensure our applicants pass a drug and background test.
- Oversee all monthly physical vehicle inventories including loaner vehicles.
- Partner with BDO for annual reviews.
- Pay off vehicles in accordance with our bank agreement so that we are never out of trust.
- Track depreciation and review the fixed asset schedule for accuracy.
- Document and handle any employee injury documentation, claim, or workman's compensation in a timely manner. Properly report all injuries and fill out required Federal Forms.
- Perform a daily bank reconciliation that balances our bank account with our GL keeping back up documentation attached daily.
- Responsible for the daily deposit and making sure that all cash is accounted for in the deposit and keeping back up documentation attached daily.
- Handle service contract cancellations timely and accurately.
- Serve as administrator for Dealer Track and any other necessary websites as directed by the Management Company.
- Track and communicate all benefits eligibility for employees.
- Balance and reconcile the parts statement from the manufacturer.
- Collaborate with the GM and the parts manager on the annual parts inventory.
- Collaborate with the GM to post the details of the advertising budget and reconcile monthly.
- Clean all schedules on a monthly basis.
