Position:
This is a full-time position, supporting a Mercer Island-based couple with day-to-day household and personal assistance. We are seeking a kind, understanding, flexible person who embraces both the variety of work this position includes and the essence, which is to assist, support, and make lives easier.
This couple has a full-time and a part-time housekeeper, a property caretaker/manager, and an accountant, all of whom have worked with this couple for years. You will be joining a team, working alongside and supporting each other. All the employees are peers, and while the role assists with the housekeeper(s) weekly reporting, it does not supervise the housekeepers.
Key Responsibilities:
· Overall support of the principals to make their lives easier. Examples include handling calendar changes swiftly, making sure other team members are aware of all activities that could impact their own workflow, etc. Anticipate needs of principals (morning routine, weather forecast, checking calendar to prep for daily schedule, return in afternoon).
· Oversee / manage small projects. Examples: selling or donating pieces of furniture, getting out and putting away seasonal decorations, coordination with artwork transportation and storage.
· Collaborate / tag-team with employees at Mercer Island home, as well as at other homes, ensuring smooth arrivals / departures / stays for principals. This includes keeping the right people in the loop about planned visits and duration of stays, and addressing needs at the other homes in advance of and after planned visits.
· Travel research / booking / confirmations: includes researching travel options, arranging / booking private air travel, including catering requests and updating calendar for changing flight information. Coordinate ground transportation for private and occasional commercial flights for principals, as well as their family members, as requested. On weekends, you are available to monitor changes in air travel and inform principals and ground transportation companies.
· Some calendar management (for the wife), and calendar coordination with the husband. For the wife, booking personal and medical appointments.
· Expense reports for work and trips on behalf of their Family Foundation and for husband for his work travel.
· Organize rooms (home office, closets, studio space, storage rooms) as requested. Keep staff office organized and current with office and household supplies.
· Assistance with party planning, purchasing decorations, and event coordination (birthday celebrations, Seafair parties, etc.).
· Meal planning / prep: including grocery shopping and planning to make sure food, snacks and meals are ready for employers ahead of time. This could involve meal prep, warming food, pick-up of take-out, preparing appetizers, snacks and refreshments for occasional meetings, etc. Note: you do not need to be a chef or have culinary experience.
· Administrative work, such as filling out forms, scanning documents, filing, preparing basic spreadsheets.
· Errands: grocery and beverage shopping, dry cleaning drop-off and pick-up, gassing up cars and getting cars washed, refilling and picking up prescriptions, replenishing household and cleaning supplies, etc.
· Personal shopping: including purchasing gifts, ordering flowers, purchasing personal and clothing items (online and in-person), returning items, picking up / dropping off clothing purchases and alterations.
· Drive principals to/from appointments and engagements, as needed.
· Occasional assistance with care of their dog, such as taking her for walks, drop-off and/or pick-up at grooming appointments, watching her while the property manager is meeting with vendors, etc. Prepare supplies (food, medication, misc. supplies) for pet travel and boarding.
· Work with housekeeping team and principals to establish weekly cleaning plans. Submit weekly report of housekeeping tasks accomplished.
· Submit weekly report to principals with your tasks completed and status updates on ongoing projects. Flag projects on hold pending principal input.
· Additional projects and work, as assigned.
Requirements:
· Five (5)+ years of experience supporting an individual or family as a personal assistant or household manager. This is not a position for someone who has no private service experience and references who can speak to that work.
· Kind and pleasant disposition.
· Independently motivated (proactive self-starter) and comfortable working alone and/or in quiet settings.
· Ability to stay focused and productive in a busy household with multiple interruptions.
· Adaptable, “go with the flow” attitude. Able to adjust to unexpected schedule changes that alter daily goals.
· Able to stay busy and find ways to be helpful.
· Team player, who genuinely likes working alongside others and finding ways to partner.
· A person who values being organized and tidy, yet is also respectful of the process of getting others organized (as opposed to wanting to do it all or just organize “your way”).
· Experience overseeing travel for employers. This includes being a point-person for all aspects of travel, and a go-to while employers are traveling.
· Professional references who can speak to your oversight and/or management of their personal affairs, personal spending, and/or day-to-day care for loved ones.
· Clean driving record, and ability to drive employers, as needed.
· Is discreet and confidential about your work.
· Associate’s Degree preferred.
· Must enjoy dogs, as there is a gentle, beloved, medium-sized dog in the home.
Workday:
· Full-time, 40 hours/week
· Mostly Monday-Friday, 9:00am to 5:00pm
· Flexibility for evenings and weekends as needed, not regularly.
· Expected to manage time to accomplish work during regular hours.
Comp + Benefits:
· Salary
· Health benefits and paid time off will be offered, yet may not be available immediately.
· 120 hours of Paid Time Off (PTO), which accrues ratably over each pay period.
· 401(k) plan with employer contributions, available after a six-month waiting period.
