Job Overview
We seek an experienced Executive Assistant to support our CEO in a dynamic, fast-paced environment. This role involves professional and personal support and requires a proactive, highly organized, technology savvy, servant-hearted leader who can lead and be perceived as a C-Suite leader. It’s a perfect fit for someone who loves to serve leaders and is dedicated to ensuring their success. The ideal candidate will manage multiple tasks efficiently, anticipate needs and maintain strong working relationships with the CEO, the team and the CEO's spouse.
Key Responsibilities
○ Manage the CEO’s calendar, appointments and action items.
○ Plan and coordinate executive meetings, retreats and company events.
○ Handle confidential documents, follow-ups and correspondence.
○ Use MS Office Suite, Google Workspace and other project management tools effectively.
○ Adapt to new technologies to improve efficiency.
○ Oversee expenses, receipts and spreadsheets.
Personal & Household Management:
○ Coordinate household services, repairs and maintenance.
○ Run errands, manage finances and pay bills.
○ Supervise children during events and provide occasional overnight childcare.
○ Plan personal travel and assist with relocation and household projects.
○ Organize in-home events and gatherings, ensuring all essentials are prepared.
○ Provide personal support which includes managing subscriptions and Titan’s season tickets.
○ Communicate with CEOs wife as needed in a timely manner.
Travel & Event Coordination:
○ Arrange travel for the CEO, family, and staff, ensuring accuracy and timeliness.
○ Coordinate VIP visits and organize company/community events.
○ Organize company events and community events which includes all planning and execution details.
Interpersonal & Cultural Fit:
○ Foster positive working relationships with the CEO and team.
○ Exhibit high emotional intelligence and strong interpersonal skills.
○ Maintain a professional demeanor, aligning with the CEO’s leadership style.
○ Proactively identify and solve issues.
○ Communicate effectively with all stakeholders.
Availability:
○ Available for urgent matters or emergencies (nights/weekends).
○ Handle time-sensitive tasks and last-minute changes.
○ Regular check-ins with the CEO to ensure needs are met and feedback is addressed.

Qualifications
● Minimum of 2 years proven experience as a Personal or Executive Assistant.
● Highly organized with exceptional time management skills.
● Technology savvy with proficiency in modern apps and the ability to learn new technologies.
● Strong verbal and written communication skills.
● Ability to manage confidential information with discretion.
● Detail-oriented with the ability to manage multiple responsibilities simultaneously.
● Resourceful, proactive and capable of working independently.
● Comfortable with both professional and personal tasks.
● Ability to lead and be perceived as a C-Suite leader.
