WHAT YOU'LL DO
The Administrative Assistant will work with the Niagara Falls management team to facilitate day-to-day operations. They will help create efficiencies and improve data capture for all programs in the Niagara Falls office.
Key Responsibilities
Clerical Duties and Office Management

Welcome and support clients at the Niagara Falls office and waiting area.
- Accept and respond to phone calls for Niagara Falls division.

Monitor and respond to/triage incoming faxes and emails to the Niagara Falls office and general email box.
Operations Support
-
Travel between JFS offices to pick-up and distribute mail to/from the Niagara Falls office.

Maintain and order supplies for office and programs.
- Work closely with Operations Coordinator on various operations related activities.
Scheduling and Meetings

Schedule group events and client orientations including interpreters as needed.

Attend meetings to support program outcomes.

Attend new arrival orientation to support logistics.

Attend agency and department meetings as required.

Participate in training as required.
Client Services
-
Process refugee case bookings and associated data entry.
-
Facilitate client referrals between programs and with partners.
-
Handle sensitive client information in a confidential manner.

Assist in reviewing case files to ensure compliance with funder guidelines.
-
Adhere to all HIPAA guidelines/regulations and program requirements.

Occasionally assist with airport pickups and client services.
Data and Reporting
-
Complete monthly program data entry and submission for programs as assigned.

Complete client paperwork in partnership with caseworker, as appropriate.

Track financial expenditures in provided spreadsheets and reconcile with finance department.

Work collaboratively with Administrative Coordinator of Community Services and Director of Impacts and Outcomes on the collection and usage of internal data.
WHAT YOU'LL BRING
-
Minimum of 1-2 years' experience in an administrative or office support position.

Experience supporting multiple managers and departments preferred.

Proficiency in Microsoft products such as Teams, Outlook, Excel, Word, and PowerPoint, required.

Strong internet and database management skills.

Ability to maintain a strict level of confidentiality.
-
Experience with administrative and clerical procedures and equipment.
-
Excellent organization and time management skills and ability to prioritize effectively.

Analytical abilities, attention to detail, and aptitude in problem solving.
-
Excellent written and verbal communication skills for interactions with clients and the public.

Ability to work independently and as part of a team.
-
High level of attention to detail and ability to manage multiple tasks simultaneously.
-
Familiarity with and appreciation of issues related to people of diverse cultures and languages.
This position requires travel between sites and therefore, you must have a reliable vehicle, valid driver's license, and liability insurance in the amount of $100/$300K. Also, if hired, you must produce evidence of having received the Covid-19 vaccination.
WHAT WE OFFER

Competitive salary range of $21.00 to $28.00 per hour, commensurate with experience and qualifications.

The above pay range is a good faith estimate for the position at the time of posting. Final compensation may vary based on factors including, but not limited to, background, knowledge, skills, and abilities.
