JOB DESCRIPTION

The Administrative Assistant II/Counselor I will assist and provide administrative services to adults with serious and persistent mental illness in the community where they live, instead of hospital or clinical settings. The detail-oriented individual will perform a variety of administrative and clerical duties to support the daily operations of the ACT team in Salinas and will be required to work two days out of the week from our Soledad location. The incumbent will work organize, coordinate and monitor all nonclinical operations of the ACT team under the direction of the Program Director.

COMPENSATION

$24.38 - $32.58/hr.; Non-Exempt; Full Time; 40 hours/week; Eligible for overtime.

QUALIFICATIONS

Required: Bilingual in Spanish. High School Diploma or GED. Ability to work with a multi-disciplinary team of medical professionals, good interpersonal skills, good English and Spanish communication, both verbal and written. Proficient in Outlook email correspondence and computer software. knowledge of community resources. Ability to maintain appropriate boundaries while working in close interpersonal relationships.

Preferred: Associates or bachelors degree in a related field.

Drivers license for at least two years and driving record acceptable to insurance carrier.

Valid California driver's license; auto in safe operating condition; auto liability insurance; good driving record; criminal record clearance; proof of authorization to work in the United States as required by Immigration and Reform Act of 1986. Ability to work independently with minimal supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Under the supervision of the Clinical Specialist, the Administrative Assistant II/ Counselor I will assist with the following duties:

Provide daily administrative support for the ACT team.

Greet all incoming staff, clients and guests and provide a welcoming environment. Answer telephone calls including performing the following: (1) coordinate communication between the team and clients; (2) get answers to questions for clients, families, community resources, and agencies; (3) work with callers to relieve urgent situations or to temporarily manage them until other staff are available; (4) attend to symptomatic behavior (e.g. shouting and pacing) of client who come into the office for appointments with staff or of those who come in without a clear purpose (persons without something to do or who come in because of distress); and (5) decide when and how quickly to refer calls to other staff.

Assist program staff by doing data entry and maintaining all charts and clients records in compliance with Medi-Cal documentation requirements; maintains Avatar and HMIS client databases.
Maintains program office filing. Assist clients in working with their case worker and/or Psychiatrist.
Maintains adequate supply of postage and other office supplies. Provide client-centered services, focusing on the present. Listen, respond empathically and engage in problem solving.
Serve as a recovery agent by providing and advocating for any effective recovery-based services that will aid the client in daily living.
Maintains office equipment and supplies.
Assists in preparation of program materials, manuals, etc. including photocopying, compiling, stapling and other tasks.

Assist with data entry as needed. Record admissions and discharges to provide a source of information for statistical reports.

Identify, assess and respond to crisis situations.
Assist clients in attaining community stability and reaching their recovery and rehabilitation goals, including helping clients to find and keep employment.
Increase natural supports - Engage, offer support, and mental health information to clients’ family members.
Counsel clients individually to set, track and achieve rehabilitation and recovery goals.
Listen, respond empathically and engage in problem solving.
Maintain accurate and secure summary information based on documentation in computer files and databases and follow the HIPAA Privacy Rules guidelines for protecting client’s medical records.
Meet and record productivity and outcome standards of the program.
Ability to travel and work at various program locations. (Marina, Monterey, Salinas)
Collaborate and coordinate services with multidisciplinary staff team members, Psychiatrist, Nurses, Counselor, Peer and other staff to provide effective services.

Maintain accounting and budget records for client and program expenditures; and operating and coordinating the management information system.
Other duties as assigned.

PHYSICAL REQUIREMENTS

Ability to: operate a motor vehicle; climb stairs; possess good communication skills; meet the requirements of the classification and have mobility, vision, hearing and dexterity levels appropriate to the duties to be performed. Capable of the following extended activities: standing, sitting, stooping, climbing stairs.

Capable of the following intermittent activities: lift up to 25 pounds or more and bending in the performance of infrequently performed office duties.
