Summary:
The Administrative Assistant for Triad Academy serves as the primary point of contact for all individuals interacting with the division and oversees students' academic and logistical needs. This role requires exceptional interpersonal, communication, technology and organizational skills to manage the dynamic demands of a busy school office while maintaining a high level of confidentiality. Qualified candidates will enjoy collaborating with students, teachers, and colleagues to ensure efficient and positive divisional operations.
Essential Functions:
Office Support:-
Supervise daily operations of the divisional office

Provide support to the Division Director

Serve as the first line of contact for students, faculty, staff, families, and visitors

Coordinate appointments and meetings for the Director
-
Manage field trip planning and divisional mailing

Coordinate supply purchases for common spaces and individual teachers
-
Reconcile monthly bank statements and track budget expenses
Technical Support:-
Perform data entry for calendar events and student records using Veracross School Administration System

Maintain electronic administrative files in Google Drive
-
Manage distribution of divisional email communications
-
Update divisional parent information website regularly

Assist with creating and formatting presentations as needed
Record Management:-
Reconcile daily student attendance and facilitate standardized testing paperwork distribution

Prepare and update student schedules and records, including progress reports and transcripts
Registrar Duties:-
Configure and maintain teacher schedules, class rosters, and student schedules
- Ensure timely and accurate entry of grades and assessment in preparation for teacher conferences and report cards

Prepare transcripts and manage student records database

Handle files and records for cumulative records, transfers, and registration
-
Assist in creating and distributing progress reports and managing "next school" applications

Reconcile transcript details for students leaving the division
Divisional Tasks and Events:-
Assist with various administrative tasks such as mail handling, maintaining workroom supplies, and ordering student snacks for division

Assist teachers with finding subs and maintaining emergency sub plans

Coordinate event preparation, organization, and set-up

Assist in preparing and facilitating divisional meetings and professional development

Support faculty and staff as needed
Competencies:
The ideal candidate will work closely with their Division Director and the divisional leadership team, demonstrating adaptability, confidentiality, exceptional interpersonal skills, and initiative. Candidates are required to have strong communication skills, display effective written communication, be highly organized, maintain a flexible and growth-oriented mindset, collaborate effectively across divisions, and manage organizational logistics.
Qualifications:

A minimum of a Bachelor’s degree and experience in a school or non-profit environment are required.
- The candidate must be proficient in database management and the Google Suite.

Knowledge of the Veracross School Administration System and a general understanding of query building are preferred.
