Property Manager Job description

This is a 400 + unit condominium property located in Sandy Springs. As a key liaison employee, the position of Property Manager must perform the job duties of overseeing the overall integrity of the property and its infrastructure. The Property Manager must be professional in his/her interaction with staff, contractors, and residents. While timeless and professional appearance are key, a friendly and outgoing approach with residents is a must. The Property Manager is fundamental to all functions of the community, the Board of Directors, as well as the vendors and on-site staff. Strong management skills, customer service skills and supervisory skills are required.

Required Licenses, Certification and Experience

The position requires at a minimum a Georgia State Real Estate License and must possess a Certified Community Association Manager certificate (CAM) from the State of Georgia. A minimum of two years of condominium property management experience is required.

Customer Service

Possess a strong working knowledge of customer service principles and practices.
Be proficient and have working knowledge of CINC, Excel, Word, and Microsoft Office applications.
Ability to read, analyze and interpret technical procedures, lease agreements, regulations, and/or documents with a similar degree of complexity.
Constantly strive for improvements in the work process and results to better meet client’s expectations.

Competencies Required

Supervisory responsibility, strong management skills, delegation skills.
Community proficiency, ability to make decisions that align with governing documents, business acumen, financial management.
Set and adhere to the highest standards of performance and ensure that the highest level of service is being delivered.

Duties and Essential Functions

· Attend monthly association and annual association meetings. Attend Board of Directors Meetings as requested.

· Demonstrate a positive, professional and client-oriented attitude with co-workers, residents, homeowners, clients and the public, whether contact is by mail, email, telephone or in person.

· Constantly strive for improvements and work processes and results to better meet client expectations.

· Monitor and maintain accurate records of all rental leases and vendor contracts and agreements.

· Ensure all vendors provide a certificate of insurance as co-insured and certificate holder, and a copy of all vendor business licenses.

· Oversee all preventative maintenance schedules and contracts.

· Prepare professional presentations of reports, action plans, budgets, and bid analysis. Analyze and distribute monthly financial statements including operating variances from budget, cash management and strategies for collection of receivables.

· Act as the third-party community association vendor’s primary coordinator to assure that the vendor’s efforts fully meet and exceed contractual property management obligations.

· Maintain complete and accurate property files and records, according to department systems, with an emphasis on documentation for future reference.

· Coordinate with vendors’ support staff on management procedures for processing and distributing information.

· Monitor aging reports, provide timely legal action, and update the collection modules. Maintain communication regularly, including homeowner and vendor correspondence, and provide regular important notifications to the residents via email, newsprint or text if the situation or event requires such.

· Process resident violations, work orders, architectural control applications that are approved by the Board and sales applications monthly as required.

· Possess competent knowledge of assets, cash balances and availability of funds for projects.

· Possess competent knowledge of Cash Flow management for capital improvements. Be able to identify expenses as Operational or Reserve fund.

· Keep up-to-date equipment maintenance logs, inventory, and update preventative maintenance manual quarterly.

· Acquire and maintain current knowledge of state and regulatory agency statutes and the association’s documents, policies and regulations, including not limited to Association Declarations, By-Laws and any Amendments thereto,

·Execute all Board established policies and fine schedules.

· Work to initiate, maintain and improve the Emergency Preparedness Plan.

Professional Communications

· Maintain a professional relationship with the Board of Directors, residents and on-site contractors and vendors

· Establish and maintain collaborative working relationship and conduct meetings with contracted vendors and act as chairperson for those meetings.

· Initiate contact with new residents to coordinate the move-in process (Welcome Kit). Provide an introduction and orientation to the staff, the building amenities, review available services, review the building rules, regulations that are provided in the Handbook for Residents.

· Develop specifications and continually evaluate service needs and performance in all areas of maintenance and management. Encourage on-site vendors to act in a professional manner and comply with established safety standards. Encourage a team working environment.

· When required by the Board, communicate accurately with the Association’s legal and insurance teams to ascertain information and advice, which will need to be reported back to the Board and Association.

Job Type:

This is a full-time, on-site position. Days and hours will vary and must be flexible, with an ability to respond after hours and weekends, in the event of emergencies.
